Fuel & Petroleum
Petrol station management system for Kenya.
Shift-by-shift pump readings, wet stock, and till-to-bank reconciliation — so variances surface before the next shift starts, not at month end.
The problem
If this sounds familiar, you're who we built this for.
Variances show up at month end
By the time the books reveal a shortage, thirty shifts have passed and nobody remembers anything. The loss is a write-off, not a lesson.
Wet stock losses are invisible
Tank dips and pump meters live on different clipboards. Evaporation, leakage, or something worse — you cannot tell, because nothing compares them daily.
The M-Pesa till is a mystery novel
A day of fuel sales produces hundreds of till confirmations that nobody matches to pump readings. Cash declared and money received drift apart quietly.
What we build
The system, piece by piece.
Shift close that balances
Pump meter readings against cash and M-Pesa declared, per attendant, per shift. The variance report exists before the attendant goes home.
Wet stock control
Daily tank dips against meter sales, with gain/loss per tank trended over time — so a developing problem looks different from natural variation.
Till-to-book reconciliation
M-Pesa till confirmations matched to shift sales automatically. What was declared, what arrived, and what is missing — one report.
Shop and lubricants in the same books
Lubricants, gas, and shop stock in the same ledger as fuel — one stock take, one margin view, one monthly close. Multi-station owners see every site from one screen.
Shifts, tanks, and the shop run on the same platform as your accounts — so the daily variance report and the monthly P&L are the same numbers, not rival versions. See what's inside the platform and how an implementation runs.
Common questions
Asked on almost every call.
Do you connect directly to pump controllers or tank gauges?
Where your forecourt hardware exposes data, we integrate with it. Where it does not, structured shift capture takes two minutes per pump and still gives you daily variance control — most stations start there.
We run three stations. Can I see them together?
Yes — each station closes its own shifts, and you see consolidated stock, sales, and variances across all sites from one dashboard.
Will this catch attendant theft?
It makes losses visible per attendant, per shift, per day — which is what actually deters them. You will know the same evening, with the numbers to have the conversation.
How much does it cost?
Scoped per station and per site count: a one-time fixed implementation quote, then one flat monthly fee. Book a call for a realistic range.
Close every shift with the numbers in hand.
